Description
The Office of the Attorney General, Division of Constituent Services seeks a skilled Executive Administrative Secretary who has a passion for providing excellent customer service to the constituents of the Commonwealth.
The Executive Administrative Secretary position will represent the Attorney General’s office professionally and skillfully by directing the public to resources within the office or other appropriate entities such as federal, state and local agencies or others.
Primary job duties include but are not limited to:
Manage large number of incoming calls in queue system in a timely manner.
Answer telephone courteously, identify caller’s needs, clarify information and determine appropriate response based on the question or concern.
Enter and maintain data in Constituent Services databases as it relates to constituents’ needs.
Respond to all voicemails promptly.
Greet and assist office visitors.
Utilize office protocols to notify staff of visitors’ arrival; meet with constituents regarding complaints and other concerns.
Offer courteous, professional and respectful service to all visitors and constituents.
Manage correspondence received via the online form, e-mail and mail; prepare written correspondence in response to constituent outreach; process written and electronic constituent complaints through office protocol.
Provide accurate resources for assistance.
Complete appropriate follow-up communication to ensure issues are resolved to the best of our ability.
Assist with Attorney General correspondence, including researching and drafting outreach and congratulatory letters.
Prepare memos and preparation materials for outreach efforts, such as round-tables and mobile offices.
Complete all other duties as assigned by the Director of Constituent Services
Assist with publication fulfillment as needed.
Other duties as assigned.
Other skills:
Proficiency in Microsoft Office products.
Ability to research resources and clearly and accurately communicate messages.
A high level of patience is essential for this role.
Time management and organizational skills are required to manage numerous tasks, while working under strict deadlines and within a team.
Conflict resolution skills
Knowledge of the roles and responsibilities of the Attorney General’s office and other government entities.
The ideal candidate will have: Minimum of a high school diploma or equivalency.
Bachelor’s degree in communication, public administration, business or other related program from an accredited university preferred.
Relevant work experience to include two or more years of customer service, office administration, or work in public service required; writing experience preferred.
