*Administrative Assistant - Sourcing*
*Role Summary:*
Reporting to the Senior Sourcing Manager, the Sourcing Administrative Assistant works collaboratively and cross-functionally across several departments in the day-to-day management of samples, product procurement, and product development of our designer gifts, stationery, and accessories in alignment with our high-profile designer licensors and brand(s) standards.
*Role Type and Location:* * Entry Level * In Office Position – Hourly, Full time non-exempt (40 hours per week) * Corporate Headquarters in Bowling Green, KY *Responsibilities:* * Works collaboratively with the Lead Sourcing manager, Product Development and Brand team(s) regarding product specifications for sourcing manufacturers and suppliers, primarily in Asia.
* Communicates with and solicits proposals from manufacturers and suppliers regarding product specifications and costs of manufacturing and reporting this information to the Sourcing and Product Development Team.
* Builds and maintains relationships with our vendors to meet the design and quality standards of our high-profile designer licensors, brands, and teams while meeting the targeted go-live dates for all products.
* Effectively identifies and communicates findings of defective or unacceptable goods or services to the Lead Sourcing Manager, Lifeguard Press’ management and HK team(s) to determine corrective actions needed.
* Provides administrative support to the Sourcing team in areas that include but is not limited to: * Preparing schedules by season, in coordination with the HK office and vendors, which is then communicated to the product development and brand teams.
* Tracking schedules on a daily basis to ensure all projects are on track and continues monitoring with assistance from our HK team.
* Utilizing companies’ internal software (Basecamp) to track the entire development process for all SKU’s relevant to specific brand(s).
* Assisting the Lead Sourcing Manager in the analysis of price proposals, financial reports and other relevant data and information to ensure reasonable pricing points.
* Responding to management inquiries about projects, costing, incoming sales, and advance samples * All other duties or projects as assigned *Experience, Knowledge & Skills Requirements:* * Critical attention to detail, follow through, and accuracy skills in a high volume, fast paced environment.
* Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers, staff, and partners * Must be able to work under pressure and meet tight deadlines, while maintaining a positive attitude.
* Experience interacting with customers/vendors in a professional, courteous manner.
* Basic Microsoft Excel skills.
* Working knowledge of Google Docs.
* Must be able to work independently, be a self-starter and take initiative.
* Must have a Continuous Improvement and Team Player mindset.
* Must exhibit strong problem resolution skills.
* Must be flexible and is able to cope with change; possesses strong prioritization and time management skills; and has the ability to work within a fast-paced, deadline-driven environment.
* Ability and willingness to work necessary hours to meet all project deadlines.
* Travel may be required.
*Physical Requirements:* * Must be able to work in a cubicle environment * Must be able to sit and work on a computer for the duration of the shift * Must be able to lift, carry, pack, ship packages up to 50 lbs.
*Academic Qualifications:* * Associates degree preferred * 2 years’ experience in sourcing, purchasing, business, communication, etc.
